There are many, many more opportunities to serve at Sacred Heart School that cannot be listed here. Sacred Heart School could not provide the same high-quality education and formation of young people without your contribution. Service Jobs During School Hours
Health Room (Morning) (10)
One Morning (8:30-10:00) on Alternating Weeks. Give aid, personal attention and comfort to students who visit the health room. Apply band-aids and ice packs, call parents if necessary and perform other routine care tasks. Assist health room staff with various tasks (copying, filing, etc.) School staff respond to serious illness, injury, or allergic reaction. Volunteers must be up to date in the Safe Environment Program requirements.
Health Room (Afternoon) (10)

Library (8)
One position is for 2 hours per week on either Monday, Tuesday, Wednesday or Thursday for Semester 1 or Semester 2. Check-in and check-out books, reshelf books, clean shelves, assist the librarian, and volunteer for a shift during the school book fair. Volunteers must be up to date in the Safe Environment Program requirements. Specific hours TBD after library schedule is established for the school year.
Lunch Room (10)
Assist school staff with management of lunch room, and help with disinfecting the lunch room tables. Shifts are 11:40-12:40 one day a week for one semester.
Playground, lunch recess (30)
Supervise the students at lunch recess, approximately 1 hour per week for 1 semester of the school year. Shifts are 11:45-12:45 p.m.
Playground, Pre-K + 1st AM recess (20)
Supervise the Pre- K students at recess from 10-10:20am, and the first AM primary upper lot recess from 10:25-10:40am once a week for a semester.
Fundraising
Auction – Chair (2)
Chair works closely with Auction Director to oversee and coordinate the auction. Develops and communicates committee job descriptions to Committee Chairs. Works closely with Auction Committee Chairs and subsequent committee members. Schedules and runs monthly/ bi-weekly and weekly Auction Committee meetings as appropriate. Participates and helps out in committees that need assistance and guidance.
Auction – Classroom Project Chair (1)
Oversees Classroom Projects. Provides classroom project ideas and assistance to Classroom Project Volunteers. Works closely with Auction Chairs and Auction Director to approve class projects. Manages classroom projects budget. Ensures that all projects are completed and delivered on time. Collects and oversees classroom project write ups and gives to Auction Director for editing and inclusion in Auction Catalog. Collects digital pictures and descriptions and works with Marketing Team to market projects and provides pictures to Auction Director and Auction Chair for Live Auction slide show. “Fluffs”, sets up and displays classroom projects at Live Auction during the day. Attends Auction Committee Meetings.

Auction – Catalog Writer (2)
Proofs catalog prior to printing. Inputs families & business names as directed by Auction Director. Assists in writing item descriptions when needed.
Auction – Inventory Chairs (2)
Organizes and packages up all silent items the week following the auction for the winners. Coordinates with Auction Director on organization for any remaining items from live event to be distributed to winners. Delivers all Platinum Show Your Heart sponsors winnings that were not collected night of auction.
Auction – Design Team Chair (1)
Works closely with Auction Chairs and Auction Director in coordinating all design elements of the Auction including table centerpieces, table decorations and room décor. Includes VIP table and Platinum Sponsor table. Attends Auction Meetings.
Auction – Design Team Member (3)
Works closely in coordinating all design elements of the Auction including table centerpieces, table decorations and room décor. Includes VIP table and Platinum Sponsor table. Attends Auction Meetings.
Auction – Logistics Director Set Up and Clean Up (1)
Works closely with Auction Chairs and Auction Director. Setup involves loading a rental truck the Friday before the auction with grade projects and another large items and then transporting the items to the Hyatt Bellevue on auction day morning at 8:00am. Setup is also responsible for putting together some auction items on-site (i.e., bbq or other items that need assembly). Cleanup details include loading the truck after the auction and transporting the items back to the school the following morning. It is possible to attend the auction and still do this job!
Auction – Set up / Clean Up Crew (2)
Setup involves assisting in all the areas around the auction venue on auction day to help set-up ie…assembling items for silent, setting up silent tables, helping décor with table set-up and all other aspects of preparation. It also involves returning Sunday AM at 9am to help load any left-over items onto truck to take to SHS.
Auction – Logo Graphics (1)
Works with Auction Chairs and Auction Director to create a logo for the Auction.
Auction – Marketing Chairs (2)
Have marketing experience? We need you! Our Marketing Team works closely with Auction Chairs and Auction Director on a communication plan to bring in the most for our fun event. Produces communication and marketing materials for the Auction. Including, but not limited to, FTH, Bulletin Boards, Sandwich Boards, Facebook, SHS Website and the display case. Plans and executes a 'Trunk or Treat' auction themed car at the SHS Annual Trunk or Treat event. Attends Auction Meetings.
Auction – Online/Silent Auction Team (3)
Plans and executes all aspects of the online/silent auction. Including but not limited to working with development on database for item creation for online auction to distribution of materials from the auction. Attends Auction Meetings through completion of Online Auction.
Auction - Almost Live Team (2)
Plans and executes all aspects of the almost live auction. Including but not limited to working with development on database for item creation for almost live auction to distribution of materials from the auction. Attends Auction Meetings.
Auction – Party Chair (1)
Develops Party ideas, identifies hosts, markets parties including pre-sales, writes descriptions for online and catalog. Chair creates and manages spreadsheet to track expected party revenue. Attends Auction meetings.
Auction – Party Team Member (2)
Assist Party chair with developing Party ideas, contacting hosts and marketing parties including pre-sales.
Auction – Procurement Team
Works closely with Auction Chairs to identify items for the Live Auction. Procures items for live and silent portions of the Auction. Sends procurement request letters as well as canvasing businesses to procure Live, Silent and Raffle Items. Attends Auction Meetings.
Auction – Live Auction Team (3)
Procures items for live portion of the Auction. Sends procurement request letters as well as canvasing businesses to procure Live, Silent and Raffle Items.
Auction – Event Photographer (1)
Takes professional photos during set-up for and during night of, the auction on 2/5. Walks around and takes photos including, but not limited to, set-up volunteers and the set-up process, night of events, winners, teachers, staff, attendees. Photos to be uploaded to SmugMug and shared with Auction Director. THIS JOB REQUIRES WORKING AND NOT ATTENDING THE AUCTION AND A PROFESSIONAL CAMERA.
Auction – Raffle Chairs (2)
Manages raffle items for auction. Works with Auction Chairs and Auction Director on deciding which Raffle items to offer and writing of item descriptions. Gets community excited about Raffles with parking lots sales. Includes pre-sales and selling at auction(during your allotted shift). Attends Auction Meetings.
Auction – Registration and Table Set Up (2)
Creates name cards with corresponding meal choices. Day of: arrives midday to assist with distributing name cards per table assignment, pairing up the Special Projects gift per correct family. Arrives EARLY night of auction (around 4pm) to make sure cards and gifts are placed correctly at table seating after the tables have been set by the Hyatt.
Auction – Slideshow (1)
Works closely with Auction Chairs and Auction Director to create slideshow for Live Auction. Must be proficient in Power Point. Works with AV staff and Auctioneer to ensure smooth execution of slide show day of event.
Auction – Special Projects Chair (1) and Team (2)
Works with Auction Chairs and Development Department to identify and coordinate Special Projects, including photos, communications prior to night of event, arranging delivery day of event, set up and updating Auction Chairs. Attends Auction Meetings.
Fundraising – Jogathon Chair (1)
Works with Parent’s Club to come up with goal, operating budget, and sponsorship needs.Works with 99Pledges & Sacred Heart to create required site pages. Organizes team, sets schedule, checks in on team progress and oversees the day’s event, Date TBD.
Fundraising – Jogathon Event and Volunteer Coordinator (2)
Works with chair to setup schedule for day of event, works with SH staff to ensure everyone is prepared, sets up signup genius, etc. Coordinates volunteers and health tables, snack & water stations. Oversees all volunteers the day of the event. Date TBD
Classroom Community Coordinator (CCC)
Classroom Community Coordinator (20)
Support the teachers and help build the classroom community. Responsibilities include meeting with Teaching Team before Back to School Night to determine needs and plan events, maintaining the class’ Bloomz account and using it to create sign-ups and communicate information to parents (training will be provided), arranging summer get-together, and celebrating teachers birthdays and teacher week.
8th Grade Graduation Coordinator (1)
To coordinate all activities that go with graduation. Events prior to and after graduation.
Classroom Parent Aide
Classroom Parent Aide Kindergarten for ART (4)
To help in art class one day per week for the school year. Time and day TBD. Positions not guaranteed to be during your child’s class. Two volunteers needed per semester.
Classroom Parent Aide Kindergarten for the classroom (2)
This position is for one hour per week assisting classroom teacher with variety of tasks. These tasks include, but are not limited to, grading work, copying, and assisting with bulletin boards. A set time and date to be mutually agreed upon.
Classroom Parent Aide 1st Grade for the Classroom (2)
This position is for one hour per week assisting classroom teacher with variety of tasks. These tasks include, but are not limited to, grading work, copying, and assisting with bulletin boards. Time/day can be discussed with teacher.
Classroom Parent Aide 1st Grade for ART (2)

Classroom Parent Aide 2nd Grade (3)

Classroom Parent Aide 3rd Grade (2)
This job’s responsibilities include making copies, putting together folders, cutting/prepping in class projects. This job can be done Wednesday or Thursday at any time during school. Positions are not guaranteed to be in your child’s classroom. One position per classroom.
Classroom Parent Aide 4th Grade (1)
This job requires coming in to make copies and help preparing class projects.
Classroom Parent Aide Elementary School (3)
The responsibilities for this job include but are not limited to making copies assist with materials management, etc. This job is done in the afternoons once a week for an hour. Volunteers must be up to date in the Safe Environment Program requirements.
Classroom Parent Aide Primary Spanish (1)
The responsibilities for this job include but are not limited to checking in making copies, organizing handouts for homework distribution. While flexible on timing it must be done during school hours and not at home. Positions not guaranteed to be during your child’s class. Needed biweekly.
Classroom Parent Aide Middle School Art (1)
The responsibilities for this job include but are not limited to preparing art supplies for weekly projects, clean materials used from the weeks art projects, organize supplies, hang up and take down artwork. This job is done once a week for an hour, time TBD Positions not guaranteed to be during your child’s class.
Classroom Parent Aide Middle School Music and Drama (1)
This person will check in weekly by email with the teachers. It is determined then whether you will be coming in for the full hour, picking up materials to work on at home, or if there’s a project that can be emailed to work on from home. Positions not guaranteed to be during your child’s class. Volunteers must be up to date in the Safe Environment Program requirements.

The Cross Country Coordinator is responsible for providing leadership on all matters directly relating to the development, leadership, and administration of the Sacred Heart CYO cross country program.Major responsibilities include but are not limited to: Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information. Recruiting coaches and ensuring proper training and background checks. Communication to parents to keep them updated on meet information. Coordinating with our Website/Registration Administrator on communication and posting of registration, fees, and rosters. Coordination of team picture. Communicate Sacred Heart team information to CYO. Ordering of cross country t-shirts. Management of the team at the meets – including generating the check in, sheets and labels. This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Soccer Coordinator Grades Pre-K and Kindergarten (1)

Major responsibilities include but are not limited to: Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information. Recruiting coaches and ensuring proper training and background checks. Developing and maintaining practice schedule and field use for practices and game days. Coordination of soccer equipment to distribute to and collect from teams and supplies (portable bathroom for field during season). Communication to coaches to keep them updated on current events, activities, tournaments, Meeting information, etc. Coordinating with our Website/Registration. Administrator on communication and posting of registration, fees, and rosters. Coordination of advertising for registration deadlines in “From The Heart” & the parish bulletin. Coordination with Uniform Coordinators to distribute uniforms to teams. Coordination of team pictures with vendors. Communicate Sacred Heart team information to CYO and CYO information/requirements to soccer coaches. o Coordinates with the City of Bellevue Park Department to arrange the use of additional city owned practice fields.This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Uniform Coordinator (1)
The Uniform Coordinator is responsible for maintaining the inventory of all sports' uniforms, handling uniform replacements when needed, and managing the distribution and collection of the uniforms to players at the beginning and end of the season. This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Treasurer (1)
The treasurer is responsible for managing the fiscal budget of the organization including Sacred Heart CYO bank account, taking in funds, paying out expenses, and providing complete cost accounting for all expenses quarterly. The Treasurer works with each of the sport coordinators to ensure that all equipment, supplies, and uniforms are properly budgeted for and develop a plan for any large expenditures. This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO Website Administrator/SHS Gym Bag (1)
The Website/ Online Registration Administrator is responsible for the creation and maintenance of our Sacred Heart CYO website which includes program, coaching, and administration information. In addition, this position runs the online sport registration system (working with sport coordinators and the treasurer on payments and timelines). This position is also a member of the Sacred Heart CYO Board and participates in board meetings.
CYO – Volleyball Program Coordinator (1)
The Volleyball Coordinator is responsible for providing leadership on all matters directly relating to the development, leadership, and administration of the Sacred Heart CYO volleyball program.Major responsibilities include but are not limited to: Primary contact for parents with questions or concerns. Submit applicable paperwork to CYO Central including initial team requests, final team numbers and signed roster information. Recruiting coaches and ensuring proper training and background checks. Developing and maintaining practice schedule and gym use for practices and game days. Coordination of volleyball equipment to distribute to and collect from teams. Work with uniform volunteer to manage volleyball uniforms – managing the distribution and collection of the volleyball uniforms to players at the beginning and end of the season as well as handling uniform replacements when needed. Communication to coaches to keep them updated on current events, activities, tournaments, Meeting information, etc. Coordinating with our Website/Registration Administrator on communication and posting of registration, fees, and rosters. Coordination of advertising for registration deadlines in “From The Heart” & the parish bulletin. Coordination of team pictures with vendors. Communicate Sacred Heart team information to CYO and CYO information/requirements to volleyball coaches. This position is also a member of the Sacred Heart CYO Board and participates in board meetings

Community Events Coordinator- School Family Dinner (1)
All School Family Dinner, Date TBD. Responsible to plan and run this event, including marketing, décor, volunteers and facility requests.
Community Event Coordinator – Trunk or Treat (1)
Responsible to plan and run this event with Parents Club Members.
Community Event Coordinator – Bingo Night (1)
Responsible to plan and run this event, including marketing, volunteers, décor, prizes, facility requests.
Community Event Coordinator – Grandparents Day (1)
Works with Development and staff to plan, organize and staff Grandparents Day.
Hospitality/Community Event Chair (1)
Responsible for planning and then the serving, set-up and clean-up of refreshments at school events with hospitality/community support volunteers. Everyone will be needed at the Back to School coffee, Back to School Nights, Grandparent’s Day. Also assist at other special evening events, including Open Houses and Advent Program. This job is responsible for working a minimum of 12 hours.

Coordinator – Healthroom (1)
Monitors the activities of the health room and works with the health room staff. Creates and maintains the health room volunteer schedule and volunteer list. Develops a substitute list. Maintain ongoing communication between health room staff and health room volunteers.
Hospitality/Community Event Chair (1)
Organizes food and drinks and schedules volunteers for special school events such as Back to School coffee, Back to School Nights, Grandparent's Day, Ice Cream Social, Open Houses, Advent program, and various other school-sponsored events.
Coordinator – Playground & Lunch Room (1)
Trains and schedules playground and lunchroom volunteers. Keeps staff-in-charge informed of the volunteer schedule. Recruits volunteers as needed to fill schedule. Develops a substitute list.
Other
Other – Lost and Found and Used Uniform Coordinator (2)
Organizes and neatly maintains lost and found area in the school on regular and frequent basis, at least 3 times a week. Maintains used uniform closet and organizes it monthly sending unusable items to charity. Coordinates used uniform closet sales, including a summer event for new families.
Other – Yearbook (2)
Works closely with the yearbook staff (students) to design, create, produce and sell the school yearbook. Weekly meetings from September through May.
Other- Bulletin Board Artist (2)
Maintains bulletin boards at school entrance with timely colorful displays.
Other – Library – Book Sale Coordinator (2)
Helps with set-up and clean-up of the school book sale and assists students and parents with book selection and purchases during the sale. Time required is approximately 2 hours setting up the book sale in advance on a date TBD and working at the sale from 8:30 – 4 p.m. for the next three days (dates TBD). Book sale is usually in early December. Will also assist in Young Authors Day.
Other – Camp Islandwood Chaperone (female) (3)
Must be available the entire retreat from Tuesday at 8:30am through 3:00 on Friday. Supervising girls in cabin, boys and girls through daytime activities and meals during the week.

Other – Young Author Day (1)
Young Authors is a 1 day event occurring in January. Recruits and coordinates volunteers, assists lead teachers in planning and oversees operations of the event. Oversees book orders, bookmark contest, author lunches/refreshments and publicity.
Other – Photographer (1)
Takes photos of School events such as but not limited to first day of school, advent program, trunk or treat, Bingo night, masses. Photos should be uploaded to Smug Mug and shared with Amy Davis.
